Request, decision, leave account

Holiday requests, sick notes and absences in one app

Your team reports sick or requests holiday right in the app. The boss decides with two taps, and the leave account tracks entitlement, carry-over and remaining days automatically. No paper slips, no Sunday-evening text messages.

Holiday request in QuickQuote Flow: period, note, leave account with remaining days and the boss decision

Why this hurts

In the trades, holiday requests end up everywhere except in one place

The sick call comes in at six in the morning as a voice message. The holiday wish is mentioned in passing in the yard. Last month's request is a paper slip in the office, and whether it was approved only the boss knows.

The question that keeps coming back is always the same: how many days do I have left? Answering it costs someone in the office ten minutes of digging, and the answer is only as good as the last spreadsheet somebody maintained.

On top of that, trade teams do not sit at desks. A form that can only be filled in at the office does not get filled in. It gets said out loud, and then forgotten.

Four ways, one screen

What your team can report

Every report has a period, an optional note and a visible status: reported, requested, approved or declined.

01

Report sick

Enter the period, done. Boss and office are notified immediately. The sick note can be attached right away instead of being handed in later.

02

Request holiday

Pick the dates, send. The boss decides and the answer comes back as a notification. The request already shows how many days would be left afterwards.

03

Request paid leave

Paid leave for occasions like bereavement, a wedding or moving house, tracked separately from the holiday account. Unpaid periods can be marked as such.

04

Back-fill from the office

Whatever already happened, the office records after the fact and it counts immediately. Future holiday booked by the office still goes through the boss, so nobody plans around the decision.

Leave account

Remaining days calculate themselves

For every employee you store the yearly entitlement, plus the carry-over from last year and the year that carry-over is valid for. From there the account does the maths.

Visible at any time: entitlement, carry-over, days taken, days currently requested and the rest. And because requested days are tracked separately, the boss sees not just the request but what would remain after approving it.

Sick days and paid leave are counted on their own and never touch the holiday account. Whoever calls in sick does not lose a holiday day, and nobody has to correct it by hand later.

Three views

Who sees what

Employee

Sees their own absences with status and the current state of their leave account. Can withdraw a request as long as it has not been decided.

Boss

Gets requests in the approvals view, sees period, note and remaining days, and decides on the spot. A decision can be reversed if plans change.

Office

Sees absences per employee across the year, can search by person, back-fill past periods and keeps holiday, sickness and leave in one overview.

Part of something bigger

Leave is just one of five queues

The boss of a trade business does not only decide about holiday. He approves quotes, reviews outgoing invoices, checks submitted hours and decides on incoming invoices. In most businesses that happens in five different places.

In QuickQuote Flow all of it lands in the same approvals view, each kind in its own queue, with a counter for what is open. The boss works through one list instead of five channels.

That is the difference between a single-purpose tool and job management software for the whole business.

  • Quotes for approval
  • Invoices for approval
  • Submitted hours
  • Holiday and leave requests
  • Incoming invoices

Frequently asked

Leave and sick notes with QuickQuote Flow

How does an employee request holiday?

In the app under absences: pick the period, add an optional note, send. The request goes to the boss, the decision comes back as a notification. Until it is decided, the employee can withdraw the request.

Can I see my team's remaining days?

Yes. Every employee has a leave account with yearly entitlement, carry-over from last year, days taken, days currently requested and the rest. When deciding on a request, the boss sees right there how many days would remain.

Is carry-over from last year handled?

Yes. Carry-over is stored separately, together with the year it is valid for. It neither expires unnoticed nor gets counted twice.

Do sick days reduce the holiday account?

No. Sick days and paid leave are counted separately and never touch the holiday entitlement.

What is paid leave and why is it separate?

Paid leave covers occasions such as bereavement, a wedding or moving house. It is tracked separately so it does not reduce the holiday entitlement. Unpaid periods can be marked accordingly.

Can a sick note be attached?

Yes. The sick note can be attached to the report directly instead of being handed in at the office. Boss and office are notified the moment someone reports sick.

Can the office record absences after the fact?

Yes. Past periods are back-filled by the office and count immediately. Future holiday booked by the office still goes through the boss, so the decision is never bypassed.

Does absence management cost extra?

No. Absences, the leave account and the overview are part of the package. The base licence is 89 euros per month excl. VAT and includes the owner account plus two team seats; additional Office, Technician or Boss seats are 29 euros, Installer seats 19 euros per month.

Does this replace my payroll?

No. QuickQuote Flow keeps requests, decisions and absences in the operational flow. Payroll and HR records stay in your existing systems, with the recorded periods as a clean basis.

Look first. Decide later.
